This article explains how NiceJob prevents the same contact from being added to your dashboard more than once, keeping your contact list clean and protecting your customers from receiving too many review invites. 🔒

Does NiceJob prevent duplicate contacts?

Yes! NiceJob automatically checks for duplicate contacts to prevent accidentally adding the same client twice. Keeping your contact list duplicate-free is essential so clients are not enrolled in the same campaigns at the same time. 🛑For example, if you complete weekly or monthly jobs for a repeat client in your CRM, NiceJob won't create a new contact every time.

How duplicates are detected depends on how you add your contacts. There are four main ways to send review invites in NiceJob:

  1. Direct CRM Integration (Automatic invites)

  2. CSV File Upload (From the People page)

  3. Manual Invites (From the Stories page)

  4. Zapier Integration (Automatic invites)

Here is how duplicate prevention works for each method:

1. Direct CRM & Zapier Integrations 🔄

When sending automatic invites through a connected CRM, app, or Zapier, NiceJob checks for duplicate contacts using the customer's email address ✉️.

  • How it works: A customer email address can only exist once in your NiceJob account. If your CRM sends a contact with an email that is already in NiceJob, the contact will not be duplicated.

  • Profile Updates: If you updated an existing customer's information in your CRM (like a name or phone number), NiceJob will simply update their existing profile instead of creating a new one. ✨

  • Phone-Only Contacts: Duplicate checking for CRM integrations does not look at phone numbers. If you enter the same client into your CRM multiple times with only a phone number and no email, a duplicate profile will be created in NiceJob, which could cause them to receive duplicate invites.

💡 Pro Tip for CRM Users:

Always try to include an email address when creating contacts in your CRM (sending the invite by both email and SMS increases your chance of a review). If a client doesn't have an email address (or is a recurring customer), create a unique placeholder email using their phone number—for example: 18883369082@fakeemail.com.

2. CSV File Uploads 📁

When uploading a list of contacts via CSV on the People page, NiceJob checks for duplicates using both the email address and phone number 📱✉️.

If a contact in your CSV file matches an existing customer's email or phone number in your account, NiceJob will automatically not duplicate them. Any new information added will be updated in NiceJob.

3. Manual Invites ("Get a Review" Button) ✍️

When adding contacts manually using the blue "Get a Review" button on the Stories page, NiceJob checks for duplicates using both phone number and email address.

If you try to manually enter a client whose phone number or email is already in your system, NiceJob will block the duplicate entry.

FAQ

If a customer has already been added, how do I invite them again?

If you use a CRM integration:

A new review invite will trigger automatically the next time your CRM sends updated data matching your campaign rules (for example, the next time you mark a job as completed for that customer). 🔄

For manual review invites or to send an invite sooner:

If you don't want to wait for an automatic CRM trigger, you can manually re-invite an existing contact at any time directly from your dashboard.

If I add the same customer to my CRM with a different email address each time, will NiceJob recognize them as the same person?

No, NiceJob will not recognize them as the same person.

NiceJob relies on a customer’s email address as their unique identifier when syncing data from direct CRM integrations and Zapier.

Here is what happens when a different email address is used:

  • A new profile is created: Because the email address is different, NiceJob treats the entry as a brand-new customer rather than updating the existing profile.

  • A new invite may send: The new profile will be eligible for review campaigns independently of the original contact record.

💡 Pro Tip: To keep your contact list clean and prevent sending multiple campaign invites to the same client, update the existing customer record in your CRM when their email changes rather than creating a new contact entry.
